INVITATION

On behalf of the International Ski Federation and the Estonian Ski Association, the Organizing Committee of FIS World Cup Otepää competition has the pleasure of inviting all member associations of the FIS to participate in “Viessmann” FIS World Cup Cross Country on January 16-17, 2010 in Otepää, Estonia.

ENTRY
To register your participation, we ask you to use enclosed Form A (preliminary registration).  For official entry, please use the enclosed Form D and specify each competition in which your athletes will participate. Please specify information about all your attending coaches and assistants as well. The entries must be sent to Tehvandi Sport Center (fax: +372 76 69503 or e-mail: tehvandi@tehvandi.ee ).

RESTRICTIONS
FIS rules will apply. The number of participants must comply with FIS World Cup rules (Point 3, Number of Participants) and other FIS regulations.

RESPONSIBILITY
Each competitor must be insured by her/his own ski association and must have signed the Athletes Declaration. The Organizers have coverage for their own third part liability only.

FINANCES
Financial conditions apply as stated in the FIS Word Cup rules (Point 8, Carrying Costs). All travel and accommodation costs will be settled in the finance office with the Team Captain on Friday January 15, 2010 in Otepää. Travel payments by the Organizer to the Seeded Group members will be made in cash, Team payments to the organizers can be done in cash or with major credit cards. The finance office is located in the Otepää Sports Hall, Mäe 23a, Otepää.

WAXING FACILITIES
Waxing is arranged according to FIS World Cup rules (point 8.5).

COURSE DESCRIPTIONS
The course descriptions with profiles are enclosed to the invitation.

TRANSPORTATION
Teams arriving by plane (Tallinn International Airport) or by ferry (Port of Tallinn) are entitled to transport according to the FIS WC rules (point 8.4). Please be aware of the regulations concerning one free transfer per team and sending the information about the travel of your team to the organizer at least two weeks before arrival (Form C, deadline January 4, 2010!). Organizers guarantee one free trip to Otepää per team within maximum 2 hours from an arrival to Tallinn. A special trip from Tallinn to Otepää costs 400 EUR. 
Extras:
For teams flying to Tallinn, vehicle rentals are available at the Tallinn International Airport; however, reservations for rental vehicles must be made in advance. 

Important information:
Organizers of World Cup in Rybinsk offer for teams charter flight from Tallinn to Yaroslavl on January 19th and back from Yaroslavl to Munich on January 26nd. The other charter flight from Munich to Yaroslavl and back on same dates. If you are interested to use charter flight Tallinn-Yaroslavl please fill on transport form C this row.

ACCOMMODATION
All delegations will be accommodated in hotels in Otepää and Otepää area (maximum 12 km from Otepää). All persons outside the Seeded Group and their qualified coaches will be charged EUR 83 (for a quality room with full board per night in double room). According to the FIS World Cup rules each team (female and / or male) has the right to have one single room without any additional costs. All other single rooms will cost EUR 120 with full board per night. For cancellation of a booked room after January 4, 2010, the FIS World Cup Rules point 8.6 applies (the respective National Ski Association has to pay the difference between effective and announced rooms).

RADIO
Use of radio transmission equipment in Estonian Republic is regulated by the Telecommunication Act (§18, 68§, 73§). Permits for the installation of radio transmission equipment are issued only by  Estonian National Communications Board (ENCB).
 
ATTACHÉS
Each team may have their own attaché provided free of charge by the Organizer during the race days. Please let us know on Form B if you want an attaché or not.

LETTER OF CONFIRMATION
After we have received your entry form, accommodation form and transportation forms we will send you a letter of confirmation to confirm all your information by e-mail or fax latest on January 6, 2010.
